PRIMARY FOCUS

 

This position provides confidential executive administrative support services to the Chief Information Officer in an efficient, accurate, timely and professional manner to ensure efficiency in the office.  The workload is demanding and challenging in its level of complexity and the incumbent is expected to work independently to manage a diverse office operation including assumption of responsibility for challenging administrative duties or provision of significant and independent project support.


RESPONSIBILITIES

 

  • Seasoned communication skills, both written and verbal, be detail oriented and very well organized to provide advanced support; prepare letters, memorandum, financial tables and reports; format and design presentation quality documents; oversee production of board reports that may have input from multiple sources, etc. with the ability to manage confidential materials in an appropriate manner.
  • Manage CIO’s email inbox calendar in an appropriate manner
  • Provide timely and efficient administrative services including: arrangement of complex meetings or conferences, making travel arrangements, coordination of multiple calendars, review of operating cost summary for discrepancies, timesheet and vacation reporting, coding of invoices and expense reports, purchase and selection of office supplies and services, handling of telephone inquiries, processing of mail, forwarding of appropriate mail to others, courier arrangements, photocopying and faxing.
  • Interact with Senior Executive Team, Board members and high profile clients; partner with colleagues to provide professional administrative support services to all EMT members.
  • Interact and organize with CIO’s direct reports of the Executive Management team members.
  • Coordination and execution of various offsite functions (planning, booking, transportation, food & beverage services, etc.).
  • Support the reporting requirements of the department(s) by inputting time entry data into PeopleSoft and running reports as required. 
  • Responsible for establishing and maintaining a filing system for the CIO.
  • Establish, promote and maintain good public relations internally and externally with ability to deal with clients in a professional and courteous manner.
  • Screen requests, phone calls, visitors, read and rank incoming mail (including electronic mail) and identify issues to determine priorities.
  • Maintain Livelink, Email Management and other records management tools and running off of pertinent materials for reports.
  • Maintain on-line corporate calendar for all meetings.
  • Work with others to initiate and implement improvements in the workflow. 
  • Other duties as assigned.

 

QUALIFICATIONS

 

  • Grade 12 supplemented with a diploma in Secretarial Arts/Business Administration; 10+ years’ experience in a senior executive assistant / secretarial level position.
  • Ability to work independently, make decisions, manage multiple priorities and appropriately prioritize work, meet demanding deadlines and handle high pressure situations.
  • Must possess initiative, sound judgement, excellent time management and organizational skills.
  • Excellent interpersonal skills with the ability to build relationships and work with people at varying levels in the organization
  • Excellent communication (verbal and written) skills
  • A high level of demonstrated proficiency in Microsoft Word, Outlook, Power Point, Excel, Visio, PeopleSoft, Oracle and other common office software applications.
  • Salary and job level will be commensurate with qualifications and experience.
